MADRASAH RULES AND REGULATIONS

FOR PARENTS OF CHILDREN AGES 4–11

The Madrasah rules and regulations are established to ensure the smooth running of the Madrasah, as well as the well-being and safety of the children. Please read these rules and regulations carefully, and then read the “Madrasah Consent and Release Agreement” document. You will be required to sign the agreement when you sign your child in on the first day of Madrasah.

1. Madrasah Hours

Madrasah will be held from Saturday, December 26, through Monday, December 28, 2026, during the following hours, with an afternoon break (11:30am - 2:30pm) :

    • Saturday: 9:00 a.m. – 5:00 p.m.
    • Sunday: 9:00 a.m. – 5:00 p.m.
    • Monday: 9:00 a.m. – 11:30 a.m. for children who are not participating in the field trip.

Please drop your children off at their classes on time and pick them up at the scheduled time.

Please note that the schedule is subject to change. Please check the Muktamar Daily Schedule for any updates.

2. Madrasah Lunch/Prayer Break and Dismissal

Lunch/Prayer Break: Madrasah is scheduled to have a midday lunch/prayer break. Please check the Muktamar Daily Schedule for the lunch/prayer break time.

Please pick up your children promptly for the break at 11:30am. Any pick-up that is more than five minutes late will result in a $10 late-pick-up fee.

After-Break Drop-Off: Please bring your children back to their classes at 2:30 p.m.

Madrasah Dismissal: The same rule applies to the daily Madrasah dismissal time, which is 5:00 p.m. Any pick-up that is more than five minutes late will result in a $10 late-pick-up fee.

3. Times When Children Are Not Under the Responsibility of the Madrasah Team

Children are NOT the responsibility of the Madrasah team during the following times:

    • Before Madrasah hours
    • After Madrasah hours
    • During the lunch/prayer break
    • At field-trip locations
    • At any other time when the children are not dropped off for Madrasah as indicated on the Madrasah Drop-Off/Pick-Up Form

4. Drop-Off/Pick-Up Form

Please sign the Drop-Off/Pick-Up Form provided in the Madrasah classroom whenever you drop off or pick up your children.

5. Performance Preparation Drop-Off

Before Entertainment Night, please drop your child off at the Madrasah room at 7:30 p.m. so they can get ready for their performance.

6. Children’s Behavior

It is essential that students maintain an atmosphere that is conducive to learning and consistent with Islamic behavior. Parents are urged to emphasize the importance of respecting teachers and friends, as well as the need to demonstrate appropriate Islamic behavior.

For example, chewing gum, texting, and listening to headphones during classes will not be allowed. Parents whose children are too disruptive or are unable to follow the Madrasah rules for any reason (for instance, due to separation anxiety) may be asked to accompany their child in the Madrasah.

Please understand that children should always follow the hotel’s and Muktamar’s rules regarding noise and behavior outside of Madrasah hours.

7. Name Tags

Please make sure your children wear their name tags at all times.

8. Madrasah Program and Injury Liability

While some Madrasah programs consist of lectures/presentations, dialogue/discussion, movie viewing, and crafts, others may include physical games.

The Madrasah team will do its best to prevent injuries and accidents; however, accidents and injuries may sometimes occur. The organizers cannot be held liable for accidents or injuries that may occur during Madrasah hours.

The Madrasah is not responsible for lost or stolen items. Therefore, please leave all electronic devices, toys, and other valuables in your hotel room.

9. Madrasah Snacks and Allergy Liability

The Madrasah provides halal snacks and drinks to Madrasah children. If your child has allergies or prefers specific snacks, please provide their own snacks. The morning snack is served at approximately 10:30 a.m., and the afternoon snack is served at approximately 4:00 p.m.

If your child has any allergies, please supervise their consumption of food and drinks.

The Madrasah cannot be held liable for any medical condition or reaction resulting from the snacks or drinks provided.

10. Madrasah and Emergencies

In the event of an emergency, if the parents cannot be reached, the Madrasah team will consult the Muktamar First Aid Team to assess the child, administer emergency first aid, and take appropriate steps as advised by the Muktamar First Aid Team.

If your child is prone to medical emergencies, for instance, due to a medical condition, please inform the Madrasah team in advance.

11. Field Trip

There will be an optional field trip on the third day of Madrasah, Monday, December 28.

If your children are not participating in the field trip, you are welcome to drop them off at the Madrasah. However, the Madrasah will only open for morning hours 9:00 - 11:30 am for the children to play or do some hands-on activities.

12. Concerns and Questions

If you have any concerns or further questions, please contact the Madrasah class coordinators or ask in the parents’ WhatsApp group. Please join the Muktamar community and find the parents’ group in the list of groups.
